We have listed below information that should help make your experience with us as easy as possible. We appreciate you choosing our facility and we will do everything possible to make sure you have an enjoyable tournament.

Tournament Item Check List:

Check-In Procedure

Registration for the start of the tournament is located in the Welcome Center located in the main parking lot. Only the Head Coach / Manager needs to register their team while other coaches and players are directed to their field. Please have in possession copies of the teams Roster, Insurance Cards, and Birth Certificates or State / National Photo Identification with birth date. We will only ask to see Information if a protest is made. You will sign a Release Waiver stating that you have all the information. Please report to tournament director 1 hour prior to Game Time. Game Time may be earlier if possible.

Age Determination: In determining the appropriate age for a player, the easiest way is to determine the age of the player on April 30 of the year that he/she is playing. The age of the player on April 30 is the age of the player for that year.

Schedule

An Official Schedule will be posted at check-in. (Registration Schedule is Official.) Game times and field locations will be posted on our Web Page on the Monday at 5:00 PM prior to the start of your tournament. We will make every effort not to change your schedule, but cancellations & circumstances may cause a change in the schedule, so please keep an eye on the schedule for any changes during the week.

Game Time

Teams must be at their assigned field ready to play 1 hour prior to the game time. Please be advised that we may start early. No Infield Practice prior to Game. Warm-up in outfield grass please. We request all players stay together as a team. We have a very nice concession stand for your convenience, but if you wish to go out for your meal, please report back in time for your next game. We will start early if games are complete, so please be ready to play if we start early.

Format

Format will be determined with schedule and we will use several different formats depending upon number of entries. It is VERY IMPORTANT to know and understand the FORMAT before the start of tournament.

Determining the Winner

All tournaments will have a Championship Game if possible. In the event of cancellation of a tournament due to weather, a tournament must have two complete games to be Official; we will determine a winner and appropriate finishes based on the following procedure:

In the event that Pool Play has concluded and Single-Elimination has started and we are unable to finish the tournament (usually rain), the places are determined in the following manner: All teams eliminated in Single-Elimination are eliminated and we proceed to the highest remaining Seeds left standing. The Tie-Breaker system has already determined seeds from the previous day and that is how we will determine a winner. The games played during Single-Elimination have NO BEARING on the final outcome as far as runs allowed, won-lost record and so forth. Games played during Single-Elimination can only eliminate a team. EX. Seed 1 may have played and won while giving up 5 runs and Seed 2 may have played and gave up 0 runs, therefore giving up less runs for the tournament. This IS NOT a factor in determining a winner. The highest seed left standing from Pool Play will be the winner and so forth.

Tie Breaker

Two Way Tie

  1. Head-to-Head (only applies when 2 teams are tied)
  2. Lowest average runs allowed per game played (if head-to-head, does not apply)
  3. Highest average runs scored per game played
  4. The team that registered for the tournament first will receive the tie breaker.


Three Way Tie or More

  1. Lowest average runs allowed in All Pool Games will determine highest seed
    (if one team beat ALL teams involved, they are the top seed)
  2. Once highest seed or seeds are determined and Two Teams remain convert to
    (Two Way Tie Procedure) Please be aware that once we are down to two teams that we convert back to the Two Way Tie Breaker.


Example:

Teams A-B-C have given up 15-10-5 runs respectively, A beat B, B beat C, and C beat A. Team C is the Top Seed based upon lowest average runs allowed. Team A would be 2nd Seed based upon head-to-head.

In the event that ALL teams tied did not play each other lowest average runs allowed will be used until we get to head-to-head. It does not matter that team D beat team A and team C beat team A if ALL teams did not play each other.

Seeds

We will be using many different formats during the course of the season. The schedule will show what format we are using for each tournament. If you are in a tournament that play determines your Seed for the following day, please call our Seeding hotline at (302) 856-7922, which will have a recorded message. You can also find seeding information on the web site after 8:00 pm that evening. The web site and the recorded message will have the updated information. The web site will have all the seeds and complete schedule. The message hotline will have the first set of games and teams per age bracket recorded.

Determining seeds from Pool Play when all teams do not play an equal amount of games: We will take win-loss percentage and the average of runs allowed determining seeds.

Example: A team could be 2-0 with 6 runs allowed and be behind a team that is 1-0 with 2 runs allowed. The percentage is the same and the average of runs allowed is lower for the 1-0 team.

There is a possibility that a team does not play a Pool Game due to weather or other circumstances, in this case that team and their opponent will be given a 1-1 tie for purpose of determining seeds. This will only be used in the event of a team that has played no games in pool play. We realize that this could result in an outcome that would seem unfair to someone, under the circumstances we have no other choice. However, if all teams have played at least one (1) game in pool play, the standings will be based on percentages. Refund policy as below will come into effect at the conclusion of the tournament.

Cancellation & Refund Policy


We try to work with all teams that enter our events because without your team we cannot be successful. You must understand the problems that are created when a team registers for an event and then does not participate. These instances affect our ability to run a first class tournament and the other organizations that have committed to play. We also realize that circumstances occur that cannot be foreseen, so we have instituted a VERY FAIR and simple cancellation policy.

The cancellation policy for weekends is as follows:

Please remember that the $200.00 deposit is Non-Refundable and cannot be moved to another tournament.
Teams that cancel out of a tournament prior to the release of the schedule on Monday will be refunded their monies minus the deposit. Teams that cancel after the schedule has been released will NOT receive a refund.

Cancellation due to weather will result in the following refunds:

Cancellation by Sports at the Beach: 100% Refund
One game played: 75% Credit Refund
Two games played: No Refund
Two games are an "Official Tournament"

Note: We will make every effort possible to complete the tournament in the time period allotted. We will not continue or extend a tournament to another day or weekend. We want to complete the tournament as much as you do, but sometimes it is not possible and we all incur the same risk in registering for or running a tournament. Our reputation for running a tournament is at stake every time we run a tournament and we can assure you that we will make every effort possible for completion.

Weather


Please call (302) 856-7400 if we are having inclement weather. (Coaches only please) We will keep you informed on how we are going to proceed. Also, check for updates on our web site under the "NEWS" section. We have an automatic system in place to keep coaches updated and we will call coaches whenever weather is an issue.

Admission Fees

The price of admission is $5.00 per person per day and will be collected in the parking lot. A seasonal pass can be purchased for $40.00 at the Welcome Center for the Season running from March to October. We DO NOT CHARGE for Camps or Weeklong Tournaments.

NEW COACHES POLICY:

Each team will receive 3 COACHES ADMISSIONS for the weekend. The names must be submitted to the office prior to the tournament and the names will be placed on the check list at the entrance. Any name not submitted will be subject to paying the fee, NO EXCEPTIONS.

Park Rules
Violations will result in suspension of play and revocation of tournament invitation.

  1. The first responsibility for coaches is the ballplayers. Coaches must be in visual and verbal contact with their team at all times.
  2. Teams must be kept as a unit. Individual players are not to wander around the park.
  3. Each head coach / manager on the roster is responsible for the safety of and must know all players whereabouts at all times. Any player, parent or coach leaving the park is at their own risk.
  4. Restricted Area signs are posted throughout the park. Coaches are to ensure that players do not enter these restricted areas.
  5. Vehicles may be driven over the bridge into the Village area ONLY during the registration period and must leave after drop-off. Parents are allowed to re-enter the Village during checkout only.
  6. NO BALL PLAYING IN THE DORM AREA.
  7. Safety comes first at all times. Bathhouses and clubhouses are to be kept clean. No horseplay. Foot lockers are not to be used as seats.
  8. No bare feet at any time. Use flip-flops or shower shoes for protection. Keep articles of clothing out of shower area.
  9. PLEASE CLEAN UP YOUR TABLES AFTER EACH MEAL.
  10. Each clubhouse has been equipped with brooms, a dustpan, mattress covers, and footlockers, which must remain in the clubhouse. DO NOT take any of these items when you leave. Coaches should rotate responsibility for daily cleanup (sweep floor, empty trash and make beds DAILY). CLUBHOUSES ARE INSPECTED DAILY. All items missing from Clubhouse will be the responsibility of the Head Coach.
  11. Sports at the Beach is a NON-SMOKING FACILITY. This rule is strictly enforced!
  12. No washing of uniforms in bathhouse facilities.
  13. No standing or sitting on stadium walls, running or crossing through grassy areas. Stay on the sidewalk or asphalt walkways! We ask all participants to respect Sports at the Beach property and facilities as they would their own home.
  14. Alcoholic beverages are prohibited at all times and will be confiscated. Anyone possessing alcoholic beverages will be asked to leave the park.
  15. Outside food coolers are Not Permitted! Beverage coolers are permitted for teams.
  16. Lost and found items: Please bring all items to the information booth at the Welcome Center. Sports at the Beach are not responsible for lost items!
  17. In the event of severe weather, teams will be directed to return to their clubhouses and parents / guests should return to their vehicles until further notification.

Please Note: These rules are not all inclusive. Common sense should be used at all times: Violations of these Rules may lead to team or individual suspension from tournament play and/or park activities. Parents and family guests of Sports at the Beach assume all risk and danger of personal injury, losses, damages to person or property and all hazards arising from or related in any way to, the events at Sports at the Beach that they are attending.

Sports at the Beach management reserves the right to refuse admission or eject any person whose conduct is deemed by management to be disorderly or who fails to comply with the rules and regulations of Sports at the Beach.

Official Baseball Tournament Rules

(Modified February 3, 2010)

Any rule not covered will convert to American League Major League Rule Book.

Time Limit: We have a 2-Hour time limit (unless altered by weather) on all games except the Championship Game during weekend tournaments. No new inning may start after two hours; for the purpose of determining if a new inning may start, the time is determined at the time of the last out in the bottom of the inning. All games should stop in the bottom of the inning if the Home Team is winning when the time runs out, meaning that the visiting team will not be able to bat. In the event that for some reason (umpire is unaware of score or time) play continues, all runs added to the score will count.

We DO NOT have time limits during our weeklong tournaments.

Mercy Rule: Regardless of age, 15 run after 3 innings, 10 runs after 4 innings and 8 runs after 5 innings. Home team does not bat if ahead by Mercy. Home team will bat if visiting team goes ahead in top of Mercy inning.

Dugout: All dugout selection is based upon a first come first serve basis; any disputes will be determined by tournament director.

Official Roster: All team rosters are weekend to weekend rosters and may be changed from week to week at the discretion of the organization. Once a team has started a tournament, players may be added to their roster provided the player is of legal age (Legal Age is based on age as of April 30th) and has not played for another team of the same age bracket during said tournament. PENALTY: An ineligible player, due to roster rules, shall be removed from the game at the time of notification. There will be NO FORFEITS because of an ineligible player. A sub may replace the ineligible player if one is available, otherwise an automatic out will take place in the same manner as an injured player. No new players can be added to the roster once Pool Play has been completed.

Start of Game: Coin Flip determines Home and Visitors for all Pool Games. Once Seed is determined, Top Seed will have choice of Visitor or Home. A team may start with 6 players and add the remaining players at any time. The spot(s) missing in the batting order will be an out(s).

Determining Starting Line-up: We want to let the Coach play as many players as he/she wants. The only information needed regarding a "Starting Lineup" is the number of batters. We do not care who plays in the field.

Offensive: Team may bat 9 players, the entire lineup or in-between. Once the number of batters is determined, it must remain for the entire game. An injury or ejection may result in an out if a substitute is not available. A substitute is anyone not placed in the batting order. Once a substitution bats or runs for a player, the sub and the original starter are locked into that batting position and either one may bat or run in that position ONLY.

Defensive: Any player on the roster may play in any defensive position at any time, regardless of being in the batting order.

Example: A team may have 18 players: Bat 9 of them and play the other 9 in the field. No one player in a game can assume more than one offensive position.

Pitching Restrictions: NONE (coaches discretion) 2nd visit to the mound per inning will result in removal of pitcher. Once a pitcher is removed from the mound, they may re-enter and pitch after one batter is pitched to regardless of whether they left the field or not.

Balks: Dead Ball - No Warnings (Umpire Discretion MAY be used on younger ages)

Cleat Restrictions:

Bat Restrictions:

In the 15/16U and 18/19U divisions, wood bats only; however, wood composite bats are acceptable. Wood composite bats are considered to be a composite handle and wood barrel. All composite bats must be inspected and approved by the Tournament Director. If you have any suspicion that your bat does not meet this requirement, please leave it at home.

Altered or illegal bats will be removed and player may be ejected.

Designated Hitter: NONE, Offensive rule takes care of Designated Hitter.

Courtesy Runner: NONE

Avoid Contact Rule: Normally referred to as Must Slide Rule; a runner must Avoid Contact on all close plays. A player may not run over anyone at anytime or place on the field. (Umpires discretion)

Head First Slide: Permitted at all bases.

Intentional Walk: All ages must throw 4 balls for an Intentional Walk

Official Game: All Pool Play games played at Sports at the Beach are Official at the end of 1 complete inning (same rules as if it were a 4-inning complete game) regardless of age or reason for the stoppage (weather, darkness, etc) This ruling is in place due to weather or darkness and to determine standings for Single-Elimination. All Single-Elimination games including Championship are complete after 3 innings.

Protests: No protest will be allowed for judgment calls. Protests will be allowed for rules only and must be decided before restart of play. A $100.00 payment must accompany protest and will be returned if protest is upheld. A Protest is only “Official” if accompanied with a $100.00 fee and done before the next pitch. The $100.00 fee will be donated to the Special Olympics if protest is denied. This same fee will apply for protests of age and Birth Certificates; the BURDEN OF PROOF will lie with the protesting coach.

Follow Rt. 1 South for approximately 60 miles to Rt. 113 South. Stay on Rt. 113 South for approximately 15 miles to Rt. 404/18 East towards Georgetown. You will come to a Circle. Go 3/4 around the Circle towards Beaches (Rt. 9 East). Fields are 2 miles on the Right.

Bay Bridge (Annapolis)
Follow Rt. 50 East to Rt. 404 East. Stay on Rt. 404 East for approximately 50 miles. Rt. 404 East will merge with Rt. 18 East. Stay on Rt. 404/18 East towards Georgetown. You will come to a Circle. Go 3/4 around the Circle towards Beaches (Rt. 9 East). Fields are 2 miles on the Right.

Chesapeake Bay Bridge Tunnel (Virginia Beach)
Follow Rt. 113 North for approximately 140 miles to Rt. 9 East. Rt. 9 East will come to a Circle. Go 1/2 around circle towards Beaches (Rt. 9 East). Fields are 2 miles on the Right.

Release Waiver

The following signature guarantees Sports at the Beach that your team and you agree with the Insurance Disclaimer and are in possession of the following:

  1. Insurance Coverage for your entire team: WE WILL NOT hold Sports at the Beach responsible for anything associated with injury or harm to any member of our team while participating in a Sports at the Beach Tournament. This applies on and off the field. I understand that Sports at the Beach DOES NOT CARRY INSURANCE for players and coaches. 
  2. Roster: All players are eligible and are the correct age. I have in my possession copies of all birth certificates for the players. I also understand that a player participating on a team at an INCORRECT AGE is a CRIMNAL OFFENSE and I take full responsibility for his/her actions. I am responsible for all of my players playing at the correct age.  
  3. I/We understand, agree, and will abide by all policies of Sports at the Beach.

DISCLAIMER: SPORTS AT THE BEACH IS NOT RESPONSIBLE FOR ANY INJURY (OR LOSS OF PROPERTY) TO ANY PERSON SUFFERED WHILE PLAYING, PRACTICING OR IN ANY OTHER WAY INVOLVED IN SPORTS AT THE BEACH FOR ANY REASON WHATSOEVER, INCLUDING ORDINARY NEGLIGENCE ON THE PART OF THE SPORTS AT THE BEACH OR ITS AGENTS, EMPLOYEES, SPONSORS, VOLUNTEERS, THE OWNERS AND LESSORS OF THE PREMISES AND ALL OTHERS WHO ARE INVOLVED.

In consideration of my being allowed to participate in any way in the Sports at the Beach program, related events and activities I hereby release and covenant not-to-sue Sports at the Beach, and any of their employees, instructors or agents, from any and all present and future claims resulting from ordinary negligence on the part of Sports at the Beach or others listed for property damage, personal injury or wrongful death, arising as a result of my engaging in or receiving instruction at Sports at the Beach programs and activities incidental thereto, wherever, whenever, or however the same may occur. I hereby voluntarily waive any and all claims resulting from ordinary negligence, both present and future, that may be made by me, my family, estate, heirs, or assigns. Further, I am aware that baseball is a vigorous team sport at times involving severe cardiovascular stress and violent physical contact. I understand that baseball involves certain risk, including but not limited to death, serious neck and spinal injuries resulting in complete or partial paralysis, brain damage and serious injury to virtually all bones, joints, muscles and internal organs, and that equipment provided for my protection may be inadequate to prevent serious injury. I further understand that baseball involves a particularly high risk of ankle, knee, head, and neck injury. In addition, I understand that participation at Sports at the Beach involves activities incidental thereto, including but not limited to, travel to and from the site activity, participation at sites that may be remote from available medical assistance, and possible reckless conduct of other participants.

I am voluntarily participating in this activity with knowledge of the danger involved and hereby agree to accept any and all inherent risks of property damage, personal injury, or death. I further agree to indemnify and hold harmless the Sports at the Beach and others listed for any and all claims arising as a result of my engaging in or receiving instruction in the Sports at the Beach program and activities or any activities incidental thereto, wherever, whenever, or however the same may occur. I understand that this waiver is intended to be as broad and inclusive as permitted by the laws of Delaware and agree that if any portion is held invalid the remainder of the waiver will continue in full legal force and effect. I further agree that the venue for any legal proceeding shall be in the state of Delaware.

Media Release

I hereby grant to Sports at the Beach, or any of its agents, the rights and permission, in respect to photographs and video which Sports at the Beach or its agents have taken of me or my team, or in which we may be included, to copyright the same in their own name or otherwise; to use, reuse, publish and re-publish in the same in whole or in part, in conjunction with any printed matter in any and all media now and hereafter known, and for any purpose whatsoever pertaining to art, illustration, promotion, advertising and trade, or any other purposes media related.
